M-Files powers smarter decisions with AI and metadata

M-Files is redefining how organisations manage and access their information by using artificial intelligence and metadata to deliver smarter, faster results. With decades of experience in machine learning and AI, the company has developed one of the most advanced intelligent information management platforms available today.

M-Files digitalisation and information management expert Stig-Arne Ryeng said, “We’ve been working with machine learning and artificial intelligence for decades. It helps businesses of all sizes and across all industries improve information management, compliance, and productivity.”

Ryeng compared the ease of using M-Files to a music streaming app. “It’s like searching for a song on Spotify— it couldn’t be easier,” he said. The platform’s core mission is built on three pillars: finding, securing, and sharing data. If information cannot be located, it loses its value. M-Files ensures it’s always accessible, empowering smarter business decisions.

One of the key strengths of M-Files is its seamless integration with widely used platforms such as Microsoft, SAP, Salesforce, and AutoCAD. These integrations, along with the XREF feature for linking external documents, help maintain accurate and up-to-date project data. “Seamless integrations reduce errors, save time, and ensure that project data is accurate and up to date,” Ryeng said.

The platform also enhances internal and external collaboration by streamlining workflows and information sharing. Security is a top priority, with features such as encryption, role-based access control, and automated backups built in to safeguard sensitive data.

M-Files takes a metadata-driven approach to organising information. “This means documents and information can easily be categorized and retrieved based on relevant attributes,” Ryeng explained. Their generative AI assistant, M-Files Aino, plays a key role in ensuring documents are accurately categorised, contextually understood, and securely managed within an organisation’s knowledge ecosystem.
