M-Files has introduced Workspaces, a new AI-enabled capability designed to transform how organisations engage with their documents, processes, and people.
Positioned as the next evolution of the company’s context-first approach to information management, Workspaces aims to give businesses a more intuitive and connected way to interact with knowledge. Rather than focusing on storage alone, the feature brings all relevant content and stakeholders into a unified, role-based view, helping firms enhance collaboration and productivity.
The launch comes at a time when many organisations continue to suffer from operational inefficiencies caused by fragmented information. Documents and essential knowledge often sit in disconnected systems, or worse, rely on individuals’ memory of client activity, project ownership, or past decision-making.

M-Files is tackling this challenge by reducing friction through a system that mirrors how organisations actually operate. This gives users instant clarity without the frustrations of folder structures or manual searching. The company claims the approach leads to quicker decision-making, strengthened compliance, and measurable improvements in productivity across teams.
One early adopter expects major gains. At the core of Workspaces is M-Files’ proprietary context-first architecture, now enhanced by its AI engine, M-Files Aino (“I-Know”). Unlike standalone text-based AI models, Aino uses contextual awareness of clients, projects, and business processes to deliver more accurate insights and automation. This contextual layer strengthens compliance, powers smarter workflows, and provides employees with information they can trust.
