ApprovalMax Pay launches in US as UK payments near £100m

ApprovalMax, the accounts payable automation provider, has launched ApprovalMax Pay for US businesses using QuickBooks Online, extending its approval controls from bill sign-off to payment execution.

Announced at Intuit Connect in Las Vegas, the launch follows more than £98m in payments made through ApprovalMax Pay by UK businesses. The product allows finance teams to approve and pay bills within the same platform, maintaining an audit trail from authorisation through to the release of funds.

ApprovalMax says many US finance teams still manage bill approval and payment through separate systems, creating gaps in oversight of who can release company funds. Bank portals can give payment staff broader access than their roles require, while paper cheques rely on manual authorisation and can be intercepted or altered outside company systems.

ApprovalMax Pay links each payment to the approved bill and, where applicable, its associated purchase order. Approved information carries into the payment workflow, reducing the need for manual data entry between systems.

The platform uses pre-funded wallets that support payments in more than 30 currencies through local payment rails. Role-based permissions separate payment preparation, approval and release, while two-factor authentication is required to release funds. The system also checks supplier payment details against the last successful payment, flagging new or changed information before funds are released. Any changes to a bill after approval trigger a fresh approval requirement.

Payment activity is logged to show who raised, approved and paid each bill. Completed transactions also sync back to QuickBooks Online, maintaining a connected record for reconciliation. US vendors can be paid through Automated Clearing House (ACH) or Real-Time Payments (RTP), either individually or in batches. The service operates alongside existing payment methods.

ApprovalMax Pay is available to US QuickBooks Online customers without an additional subscription, maintenance or wallet holding fee. USD wallet top-ups are free, while transaction fees are displayed before payment. The UK payments figure covers successful transactions made through Pay Wallets and Open Banking via the Xero integration since 2025, as of 26 October 2026. Certain payment services are provided by The Currency Cloud.

Founded in 2014, ApprovalMax serves more than 20,000 organisations globally. Its software helps finance teams, accountants and bookkeepers using Xero, QuickBooks Online and Oracle NetSuite manage approval workflows, enforce delegated authority and maintain timestamped records of decisions.

ApprovalMax CEO Konstantin Bredyuk said: “ApprovalMax started with one job: making sure every bill is approved exactly as a business’s rules say. With ApprovalMax Pay, those rules no longer stop at approval. Finance teams can take a bill from approval to payment in one controlled workflow, with one record of who approved it and who released the money.”

Bredyuk added, “UK businesses have already paid more than £98 million through ApprovalMax Pay, and bringing it to the US is a big step towards our goal of giving finance teams robust control over accounts payable from start to finish.”
