How a DMS can help meet compliance rules

Using a document management system (DMS) has become an effective way for organisations to protect sensitive data while meeting compliance requirements. These systems help track who accesses documents, manage how edits are made, and reduce risks tied to unauthorised use or loss of critical information.

M-Files, a knowledge work automation platform, recently delved into how DMS can support compliance.

A strong DMS ensures security by offering features such as encryption and role-based access controls, which limit who can view or change documents. This means only people with the right permissions can handle files containing personal or financial data, reducing the chances of breaches or misuse and aligning with frameworks like GDPR and HIPAA.

Access control in a DMS is a key element for compliance, allowing businesses to set who can see or edit documents based on departments or project needs. For example, HR teams can be given exclusive access to employee files, while financial teams can manage confidential reports without the risk of unnecessary exposure across the organisation.

Audit trails, which record every action on a document, play an important role in demonstrating compliance. These logs show who has accessed, edited or approved a document, alongside time stamps, which can be used to show regulators that proper procedures have been followed and that accountability is in place throughout the organisation.

Document management systems can also be tailored to meet sector-specific compliance requirements, providing options for industries like healthcare, finance, construction and legal services. Templates and settings often align with frameworks such as HIPAA, GDPR, FINRA, and ISO, ensuring the business can remain compliant while reducing the risk of penalties tied to non-compliance.

Version control within a DMS also supports compliance efforts, maintaining a clear history of document changes and allowing users to revert to previous versions if needed. This ensures teams are working with the most current and approved documents, while keeping a record that can support audits in regulated industries.
