How to choose the right ECM platform in 2025

Selecting an enterprise content management (ECM) system has become a major decision for organisations looking to streamline processes, reinforce compliance, and manage data more intelligently.

With a wide range of providers now offering increasingly sophisticated tools, the challenge is to understand which capabilities will deliver the greatest long-term value. Businesses are expected to handle more information than ever, making a strong ECM platform essential for improving productivity and reducing operational risk.

M-Files has offered guiddance on how to choose the right ECM solution.

At the heart of a modern ECM solution are the features that make information easy to store, retrieve, and govern. Organisations should prioritise tools that include intelligent search, metadata-driven structuring, robust version control, and clearly defined permission settings. Automated workflows, audit trails and mobile access have also become crucial, particularly as hybrid working practices continue to shape digital transformation strategies, it said.

One of the major advantages of ECM technology is its ability to integrate seamlessly with wider enterprise systems. By linking with platforms such as CRM or ERP, the ECM platform becomes a central hub for business-critical documents. This allows employees to view contracts alongside customer profiles or reference invoices directly within financial systems.

Many ECM providers also offer deep integration with Microsoft’s suite of applications. Whether working in Word, Excel, Outlook, or Teams, users can save and retrieve documents directly from their ECM environment without adjusting how they work. Some solutions also integrate with SharePoint, extending governance controls and enabling a consistent experience across familiar Microsoft tools.

Choosing between on-premises or cloud-based deployment will depend on an organisation’s priorities, M-Files explained. Cloud systems offer faster implementation and easier scaling, with vendors taking responsibility for maintenance and security updates. On-premises environments, however, remain attractive to businesses with strict regulatory or data-sovereignty requirements. Hybrid approaches continue to grow in popularity, giving firms the flexibility of the cloud while keeping sensitive assets under tighter internal control.

To select the right platform, businesses should begin by assessing their objectives—whether they need to reduce paper reliance, improve compliance, or accelerate approvals. From there, usability becomes a decisive factor. A technically impressive system will offer little benefit if employees cannot navigate it easily. Pilots and demonstrations play a crucial role in ensuring the solution fits an organisation’s real-world workflows.

The market features a wide range of ECM providers with different strengths. M-Files offers a metadata-driven structure, OpenText is recognised for enterprise-grade compliance capabilities, Box specialises in cloud-first collaboration, and Laserfiche is widely used for workflow automation. The key is to focus on functionality, scalability and user experience rather than brand recognition alone.

Ultimately, choosing the right ECM solution involves balancing features, integrations, deployment preferences, and overall cost. A well-aligned system will strengthen governance, support digital growth, and ensure the organisation can manage information strategically and efficiently for years to come.
