Deleting a record sounds like the simplest function in any compliance platform, yet according to KYCP, it is one of the most fraught.
The arrival of GDPR made the process considerably more complex, forcing firms to balance the right to erasure against the obligation to retain certain data for AML purposes. KYCP has now responded with a new feature that introduces a recycle bin concept to its platform.
Until now, KYCP users could delete a record by right-clicking on an application or entity and selecting the delete icon, choosing between a “logical” or “physical” deletion. The physical route wipes every trace of the record, including audits, notes, comments and all related items, leaving no evidence it ever existed. The logical option, by contrast, keeps an audit trail confirming a record existed and was removed, giving investigators visibility of the deletion.
KYCP explained that the logical delete was often misunderstood by customers, who assumed it would allow them to retrieve the record. Discovering this was impossible caused considerable grief in some cases. Deletion permissions are also rights-based, letting firms control exactly which users can remove records from the system.
The new feature changes how the delete function behaves across both entities and applications. When a user attempts a deletion, the system now prompts them to type the word DELETE into a text box, a safeguard designed to prevent records being removed by mistake. Deleted items are then moved automatically into a secured temporary folder called DELETED RECORDS, accessible via the right-hand side menu and restricted to users who have been assigned the relevant right.
This screen functions much like a traditional recycle bin, giving authorised users a full view of all deleted applications and entities. While deleted records can never be reinstated within the live case itself, KYCP said the module allows users to export the application’s related data to a PDF. Those with the appropriate permissions can also physically delete records from the system, either individually or in bulk.
