M-Files, a document management system, is working with Microsoft to use AI to transform fragmented document systems with a secure and unified intelligent collaboration solution.
Diving into the future of document management, M-Files noted that managing documents has become a strategic priority for every modern enterprise. In today’s digital-first world, the systems that store, secure and share content are central to productivity, compliance and engagement. Yet, many organisations continue to operate in silos, juggling legacy tools, disparate cloud systems and uncoordinated data platforms — a landscape often described as “content chaos”.
This fragmentation causes critical inefficiencies. Employees lose time searching for files or switching between platforms, while duplicated content and poor version control undermine trust in data accuracy, M-Files noted. The problem runs deeper in regulated industries such as healthcare, finance and manufacturing, where compliance risks are heightened. When workers are unsure whether information is current or complete, they hesitate to act — slowing decisions and innovation alike.
For years, Microsoft SharePoint has provided enterprises with centralised document storage, real-time collaboration and robust integration with Microsoft 365. It also benefits from AI-driven tools such as Microsoft Copilot. Yet SharePoint is not without challenges. Manual metadata tagging, duplicated documents, and limited search intuitiveness often frustrate users, while permission sprawl and unmanaged governance raise compliance concerns.
That’s where M-Files enters the picture. The Finnish-born document management company has built a strong reputation for AI-driven content organisation and metadata automation. Its strategic partnership with Microsoft integrates M-Files’ intelligent automation with Microsoft 365’s familiar workspace — creating a unified and secure ecosystem for document governance.
Through SharePoint Embedded, an API-first content repository underpinning experiences like Microsoft Loop and Copilot Pages, M-Files now connects directly to Microsoft 365 environments. This integration eliminates duplication, automates metadata classification, and supports intelligent decision-making through AI-curated insights. It also enhances compliance by aligning with Microsoft Purview’s governance framework.
At the core of this evolution is Aino, M-Files’ generative AI assistant. Aino allows users to interact with enterprise content through natural language — classifying documents, extracting metadata, generating summaries and highlighting context-aware insights. When combined with Microsoft Copilot, the result is a powerful AI ecosystem that understands context, enforces compliance, and drives meaningful action.
