Manual filings leave firms exposed as rules multiply

filings

Compliance teams are under mounting pressure to deliver accurate regulatory filings against tight deadlines, even as data volumes swell across fragmented systems.

According to ACA Group, for many firms, manual processes built around spreadsheets and disconnected workflows are becoming unworkable, and while RegTech has reshaped how filings are prepared, automation on its own cannot resolve every challenge in the reporting lifecycle.

Regulatory filings have grown far more complex than simply completing a form. Firms must now pull data from portfolio management, accounting and reporting systems, apply intricate regulatory logic, validate technical formats and hit strict submission windows, all while contending with manual reconciliation, limited visibility into filing progress and rising complexity across jurisdictions.

The hidden costs of manual filing processes go beyond missed deadlines. Repeated data handling, inconsistent mapping, last-minute remediation and reliance on individual staff members can quietly drain compliance resources, even when a filing is ultimately submitted on time.

Every manual touchpoint adds a further chance of human error, making it harder for firms to scale confidently as obligations expand.

While RegTech platforms have improved efficiency by automating repetitive tasks and validating technical requirements, software cannot substitute for professional judgement. Technology can flag formatting issues or calculation errors, but it cannot assess whether results are reasonable in the context of a firm’s business, nor investigate exceptions requiring regulatory expertise.

Filings typically demand three layers of validation: technical checks on format and submission standards, regulatory checks on calculations and rule logic, and business validation covering completeness, consistency and reasonableness. Automation can handle much of the first two, but business validation still relies on experienced professionals.

ACA has built its managed filing model around this principle, pairing enterprise RegTech with managed services teams that provide implementation support, exception handling, governance and ongoing oversight.

Its technology automates technical and regulatory validation, checking formats, calculations and submission requirements, while ACA’s managed services professionals add a further layer of business validation, reviewing filings for completeness and maintaining audit documentation throughout.

Combining enterprise technology with experienced regulatory professionals allows firms to cut manual effort, improve accuracy through layered validation, reduce rejection risk and scale reporting as obligations evolve, all while staying current with shifting regulatory demands.
