The hidden compliance gap in multi-channel archiving

Compliance and legal teams are grappling with a communications landscape that has outgrown the archiving tools built to govern it, prompting a shift towards what the industry now calls Digital Communications Governance and Archiving (DCGA).

A single regulated conversation can now begin on Microsoft Teams, escalate to a Zoom call complete with a shared whiteboard and an AI Companion summary, then wrap up over mobile SMS, stated Theta Lake.

Legacy, email-centric archives were never designed to capture that chain of interactions cohesively, and many enterprises are discovering the gap only when a regulator comes asking.

The core problem is architectural rather than cosmetic. When traditional archive platforms connect to modern collaboration tools, they tend to flatten everything into text: a Zoom recording becomes a disconnected file and a rough transcript, while a Teams thread loses its edits, deletions, reactions and structure in the process of being exported.

The result is what the piece describes as email archiving with a collaboration plugin bolted on, rather than genuine unified multi-channel archiving.

The operational cost shows up during eDiscovery and regulatory exams. Voice and video stored as raw files force compliance teams into manual scrubbing rather than searchable indexing, while stripped metadata, such as who edited or deleted a message, and when, creates evidentiary gaps that can undermine an investigation.

By contrast, a modern unified platform preserves native context: full visual, audio and chat detail including reactions, edits and thread structure, alongside integrated audio-visual search with speaker attribution, and multi-modal redaction of PII and PCI data across text, transcripts and video frames.

Implementation, according to the framework outlined, follows four phases: inventorying every communication channel in use across the enterprise, from Teams and Zoom to WhatsApp and AI copilots; deploying API-based native connectors that preserve full interaction records rather than flattened exports; configuring unified indexing so a single query can return email, chat, video transcripts and OCR-indexed screen content together; and finally enforcing policy-based supervision, including automated redaction and one-click legal holds across all channels simultaneously.
